Job Description
Maintain and monitor student degree progress, stay current with changes in forms and regulations, prepare graduate student fee waivers through university Basis system, review files at the end of the fiscal year. Keep ample supply of current University Graduate School forms on hand and assist students in the completion of these forms. Keep recruitment files and website up-to-date. Provide assistance to students as needed.
Serve as department receptionist, meet and greet visitors and answer telephone. Make flyers and posters for departmental functions using Publisher, and or PowerPoint. Word processing as requested by faculty and other official paperwork for students. Make copies for classes and research. Check mail twice a day and distribute as necessary. Make sure essential research packages are picked up and/or delivered in a timely manner. Keep schedule for conference room, projectors and laptop. Keep schedule for pool vehicles. Help maintain dept. head calendar. Yearly inventory of items on campus and at the farm (over 200 items) and surplus old inventory items through AIMS when necessary. Maintain current list for professors and office of inventory items. Maintain inventory items through AIMS. Order all supplies for office, regalia for professors, and textbooks. Help graduate assistants and students with key cards, ID’s and ISIS class scheduling. Execute workers compensation claims when needed. Help maintain confidential personnel files. Help recruiting applicants to graduate school and entomology. Keep listserv or recruitment status. Distribute applications to entomology graduate application committee. Answer general correspondence, provide solutions to problems and/or assist in resolving problems encountered by departmental employees. Maintain departmental office equipment and computer troubleshooting for faculty and graduate students. Keep email listservs accurate. Interact with faculty and staff in AFLS Dean’s Office, Physical Plant, Human Resources, Graduate School and others academic and administrative departments across campus.
Maintain department library and reprints. Collect, file and maintain department monthly vehicle reports, reporting to purchasing. Collect, file and maintain titles, and registrations for university vehicles. Distribute vehicle insurance cards. Order parking permits for pool and faculty vehicles. Renew registrations for all vehicles. Maintain accurate list of current vehicles and associated cost centers.

I have worked for the U of A for 20 years. The Entomology department is one of the most interesting, enjoyable departments on campus.
